Bookkeeper/Secretary Job Description

Hours: Monday-Wednesday & Friday: 8:00 a.m.- 4:00 p.m. — 32 Hours/Week
Pay Rate: $____/Hour
Position Summary: The Parish Bookkeeper/Secretary serves at the discretion of the Pastor in
providing essential bookkeeping functions and is responsible for providing secretarial support
and for performing other varied functions as necessary in a parish.
Essential Duties and Responsibilities:
 Support the Pastor in support, development, and oversight of the parish bookkeeping
functions and responsibilities including financial, payroll, and other responsibilities as
described here. Participates in a weekly check-in with the Pastor.
 Maintains accurate records of parish funds. Monitors the collection, counting, recording,
and depositing of parish revenue from all sources. Verifies parish collections with the
volunteer who takes it to the bank each week.
 Maintains accurate general ledger of all accounts, preparing financial reports and
statements for the Pastor’s review.
 Prepares parish and diocesan reports of parish in a timely manner.
 Assures that all contributions to the parish are accounted for in an accurate and timely
manner.
 Prepares bank deposits and records receipts of the parish. Reconciles bank statements for
the parish on a monthly basis.
 Processes check requests of parish and assures there is proper authorization for
expenditures from Pastor prior to expenditures.
 Participates in preparation of annual parish budget for Pastor and Finance Council
review/approval.
 Maintains an accurate filing, recordkeeping, and reporting system for all parish financial
matters. Prepares monthly, quarterly, and year-end reports for parish and diocese as
needed.
 Serves as a helpful resource to the Pastor, parish organizations and the diocese.
 Responsible for understanding and maintaining diocesan policies, procedures, and
guidelines.
 Prepares and processes Paycor payroll of parish and ensures that the appropriate taxes
and other authorized deductions are withheld and tax forms filed.
 Submits weekly timesheets of all employees to the Pastor for his review and signature.
 Participates in parish and diocesan programs and activities as directed by the Pastor.
Attends meetings when required.
 Maintains a strict level of confidentiality on all matters relating to parish.
 Excellent organizational skills and an ability to handle multiple projects.
 Proficient in Microsoft Office.
 Maintain parish calendar, schedule appointments, special events, and meetings.
 Monitor and order supplies (office, janitorial, sacramental, etc.)

 Answers questions only within scope of authority and responsibility. All others are to be
referred to the Pastor.
 Fosters communication and works collaboratively with the Pastor, all parish and diocesan
employees and groups.
 Assist with the communication and record keeping of funerals, baptisms, and weddings.
The Pastor is to be notified immediately of any funeral, baptism, and weddings. The
Pastor will schedule the priest to handle every event.
 Maintain parish registry and other records as required.
 Assist with ministry record keeping and communication to parish and families.
 Create weekly bulletins.
 Maintains safe and clean office/reception area.
 Perform other work-related duties as assigned.
 The parish secretary/bookkeeper will be directly accountable to the pastor.

This is an at will position and can be terminated at any time. This is a full-time position with the
